Financial Flash #254 – Security & Document Storage

Hi everyone, and welcome to this week’s Financial Flash Report.

I’m Tina, and many of you already know me as the person who helps you manage secure documents and personal data uploads here at Stiles Financial Services. And that got me thinking… “We REALLY need to do a Financial Flash to shed light on the great lengths we go to keep private information private and safely stored.”

When it comes to your financial life, security isn’t just a feature — it’s the foundation. Every day, we handle sensitive information: from bank statements and investment records, to tax filings and personal details. And it’s our responsibility — to keep all your information protected, while still remaining accessible.

That’s why at Stiles Financial, we go well beyond what’s required by regulators. We’ve built a culture of vigilance and invested significantly in technology designed to stay ahead of today’s biggest concerns — whether that’s phishing scams, hackers, or attempts to breach data.

Here are just a few of the measures we use:

  • First, encryption. Anytime we send sensitive emails and file transfers we utilize encryption, which means if sensitive information is shared, it’s transmitted in a way that keeps it safe from interception.
  • Second, ongoing training. Every member of our team takes part in regular cybersecurity sessions, so we know how to recognize risks, spot scams, and act quickly to keep information secure.
  • Third, cybersecurity insurance. We carry specialized coverage that helps us act quickly to any potential breach, shutting it down immediately, securing the system and identifying the culprit.

And beyond policies and practices, we’ve made major investments in the technology our clients use every day.

  • The Black Diamond Wealth Platform is a secure hub that gives you visibility into your entire financial picture. You can review balances, see performance reports, and use a secure two-way vault to exchange documents with us. That vault also gives you a safe place to store your own important files, accessible anytime, from desktop or mobile, 24/7.
  • We also use ShareFile, a secure, cloud-based tool for file sharing. You’ve probably seen the secure upload links in our email signatures — those links make it simple for you to send us documents related to onboarding, planning, or ongoing service, all with bank-level encryption.

Both of these platforms use the same high-level encryption trusted by banks and global e-commerce sites, so you can feel confident your documents are safe.

And there’s much to remember to do on your end as well. As we covered in Financial Flash #247, it’s important to utilize strong passwords with a mix of numbers, letters and symbols, use a password manager to keep track of passwords across all your sensitive access points, and enable two-factor authentication wherever possible. For more tips on personal security, check out that Financial Flash for a refresher.

Here’s what I really want you to understand: Protecting client information isn’t just a regulatory requirement for us. It’s a commitment we take to heart. We know that your trust is our greatest asset — and that means doing everything possible to safeguard it.

Thanks for watching this week’s Financial Flash. Stay vigilant, Stay safe. And we’ll see you next week with another informative financial topic.
